Job Description:
Executive Assistant (Strategic Partner to CEO)
Company Overview
It is a performance-focused digital marketing agency partnering with ambitious DTC ecommerce and online education brands. The agency helps businesses grow through data-driven paid advertising, funnel optimization, and strategic creative. The team combines deep ad-platform expertise with conversion-focused website and landing-page work to turn ad spend into reliable lead and revenue growth. We are currently rebuilding our foundations, raising our standards, and assembling a team of A-players. The culture is fast-paced, results-oriented, and collaborative — people who enjoy ownership and continuous improvement thrive here..
We foster a welcoming environment where we accommodate and respect diverse cultural background choices, ensuring everyone feels comfortable interacting as a vital part of our team.
Mission
We're hiring an Executive Assistant who will be a true strategic partner to the CEO — this is not a traditional executive assistant position. In this position, you'll serve as a direct extension of the founder, spending significant time building high-level pitch and audit decks, conducting audits of Meta and Google ad accounts, and proposing actionable funnel, creative, and offer improvements that directly shape the deals we win. You'll also handle critical operational tasks including client communications, calendar management, invoice/contract management, and billing support. If you are a multi-dimensional learner who loves building order out of complexity, anticipating what is coming next, and working at the intersection of paid media and operations, this role will feel like home.
Key Responsibilities
Your daily tasks will vary, giving you room to learn, grow, and strengthen your skills while supporting the team with excellence.
- Create compelling, client-facing pitch decks and audit decks that reflect our strategy and represent what we would genuinely deliver if the lead signed.
- Conduct in-depth audits of ad accounts on Meta and Google and produce sharp, actionable optimization recommendations.
- Analyze lead funnels, landing pages, offers, and angles to recommend conversion-focused improvements that help close deals.
- Serve as the CEO's right-hand across business functions and manage high-priority communications on their behalf.
- Manage and track agency contracts and client invoices.
- Provide agency billing support, including tracking and calculating ad spend percentages.
- Follow up with dormant leads and past clients to re-open opportunities and nurture relationships.
- Manage lead, team, and client communications including meeting follow-ups and post-call summaries.
- Track, report, and present key agency KPIs and sales pipeline metrics to leadership.
- Support agency financial tracking and reporting tasks as needed.
- Manage the CEO's email inbox and scheduling, thoroughly prepping them for every meeting and interview the day before (proactively reaching out when context or applicant information is missing).
- Assist with candidate interviews, onboarding new hires, and managing onboarding/offboarding processes.
- Create, maintain, and document standard operating procedures (SOPs) for repeatable workflows to proactively drive process improvement.
- Maintain and organize the task management system (ClickUp) and run point on Upwork, including appointment setting and lead nurturing.
- Research, roll out, and implement new software tools, processes, and AI workflows to increase efficiency.
- Enhance marketing assets including funnels, presentations, lead magnets, and newsletter content.
- Collaborate with the Operations Manager on cross-functional projects that shape the future of the agency.
Qualifications
- Years of Experience: 1 to 2 years of experience working inside an advertising agency, or directly supporting a founder/CEO as an executive assistant. Must be highly self-sufficient and proactive, showing a strong ability to take initiative and complete partial steps before seeking input.
- Softwares/Tools: Meta Ads, Google Ads, ClickUp, Upwork, Email Management Tools, and Slide Deck Creation (Google Slides/PowerPoint).
- Industry Knowledge Required: Digital advertising and performance marketing fundamentals. A basic understanding of Meta & Google Ads for audit purposes is required (we are happy to train the right marketing-savvy candidate on the advanced technical details).
- Specific Gender: No preference
Skills & Competencies
- Obsessively organized: You keep meticulous track of every responsibility, deadline, and recurring task. You build personal systems so nothing slips. We have zero tolerance for a lack of follow-through on assigned tasks.
- Proactive by nature: You do not wait to be told. We are explicitly NOT looking for passive candidates who wait for direction or need constant reminders. When you see a problem forming, you flag it early and bring a solution with you.
- Assertive communicator: Excellent written and verbal English. You are comfortable "pushing back" professionally when needed to keep projects, timelines, and the CEO on track.
- Curious, analytical, and a multi-dimensional learner: You can jump fluidly between different areas of support and actively audit processes to suggest structural improvements.
- A craftsperson, not a shortcut-taker: You use AI as a powerful accelerant, not as a substitute for thinking. We do not want candidates who rely heavily on AI to ship rushed, raw work. You know exactly when AI output needs to be refined and humanized.
- Takes feedback once: Mistakes happen, but what does not happen twice is the same mistake. When something is raised, you track it and build it into your workflow.
- Reliable and present: You are online and engaged during agreed working hours and responsive on Slack. The CEO never has to wonder where you are or what you are working on.
